2023 Sooke Minor Hockey AGM

The Sooke and District Minor Hockey Association (SDMHA) will hold the 2023 Annual General Meeting (AGM) on Tuesday, April 18th, 2023 at 7pm. The AGM will be run in person. All members in good standing in attendance are eligible to enter a draw for free league fees (not including rep fees) for the 2023/24 season.

SDMHA is a volunteer run community organization with over 200 members that constantly requires new volunteers with fresh ideas to help maintain our well-established hockey programs. The purpose of the AGM is for the members to review the operations of the society and elect Executive Board positions that have come to term or have been vacated. It is always the goal of our association to strive to create a board representing the widest range of participants from all our hockey families. Please consider attending the AGM as it is your chance to see what we have been up to and voice your concerns on what your SDMHA can do for you moving forward.

Election of the Executive Board at the AGM elections will be held for the following positions:

• President*
• VP Admin*
• Secretary
• Registrar
• Head Coach
• Referee in Chief
• Ice Allocator
• Directors at Large/ Coordinators, ie;

o   Fundraising and Sponsorships

o   Divisional Coordinators

o   Risk Management

o   Webmaster

o   Equipment Manager

*must have served at least one term as a Coordinator or Director

As per Article 5.7.3 of the SDMHA Bylaws, there can be no nominations from the floor. ALL nominations for ALL positions must be received by the Committee by Midnight April 1st, 2023 via email to nominations@sookeminorhockey.ca 

Notice of Assurance for Absent Nominees - If you are interested in a position and cannot attend the AGM, please forward an email of assurance to the members that you will be standing for a position and include a brief bio of the nominee with any other message that the nominee wishes to share with the members in attendance at the AGM. Any ‘notice of assurance’ email must also be received by the President by Midnight April 8^th, 2023.

Change:

The Association shall have no fewer than thirteen (13) and no more than

seventeen (17) Directors.

- Section 5.5.1

Change:

The Directors of the Association shall be:

1. a) President;
2. b) Immediate Past President;
3. c) Vice President Hockey Operations;
4. d) Vice President Administration;
5. e) Secretary;
6. f) Treasurer;
7. g) Registrar;
8. h) Coach Coordinator;
9. i) Referee-in-Chief;
10. j) Ice Allocator; and
11. k) no fewer than three (3) and no more than seven (7)Directors at Large.

The term shall commence at the end of the Annual General Meeting at which the Director was elected and terminate at the end of the Annual General Meeting occurring approximately one (1) year later.

Directors holding the positions of Immediate Past President, Registrar, Coach Coordinator, Referee-in-Chief, Ice Allocator, and Director At Large shall serve one (1) year terms. The term shall commence at the end of the Annual General Meeting at which the Director was elected and terminate at the end of the Annual General Meeting occurring approximately one (1) year later.

Summary of changes:

-The maximum total number of Directors will increase from 17 to 19

-The maximum number of Directors at Large will increase from 7 to 9

-The role of Immediate Past President has been added to account for its term length

SDMHA is your association and only prospers by the dedication and perseverance from all volunteers.
